Our Los Angeles office is seeking a responsible, full-time
Personal Assistant to Publisher to work closely with our publisher and owner of TASCHEN by providing personalized secretarial and administrative support in a well-organized and timely manner. The successful candidate will be proactive, positive, well-mannered, constructive, and intelligent, working pragmatically on a one-on-one basis across numerous tasks related to the publisher’s working and private life and communication.
Key responsibilities:
- Administration – Answering the phone, taking messages, diary management, preparing and updating reports, maintaining travel arrangements
- Organization – keeping files, desktops, and diaries organized; planning trips and events and scheduling meetings
- Communication – handling incoming email, faxes, and post, often corresponding on behalf of the publisher
- Research – carrying out background research and presenting information
- Managing internal/external relationships – developing positive relationships with clients, artists, and people within the company on behalf of the publisher
- Personal – running errands, taking care of personal maintenance tasks
Candidate’s Profile:
- Relevant experience as assistant as well as secretarial and administrative knowledge
- Flexible and able to juggle a range of different tasks and to prioritize daily workload
- Good organizational and time-management skills combined with high solution orientation
- Able to work calmly under pressure and meet deadlines
- Proactive and able to take initiative
- Keen perception and fast anticipation
- Excellent interpersonal skills
- Internationally minded, confident and eager to learn in an artistic environment
- Exceptional written and oral communications skills in English, additional good communications skills in German are a big plus
- Honest, reliable, and trustworthy
- Able to maintain discretion and an understanding of confidentiality issues
- Tactful and diplomatic
- Strong proficiency in MS Office
- Interest in the subjects published by TASCHEN
